Sales and shipping

Customer returns

Record a return from its shipment, so the goods go back into the same lot.

What it does

Record a return brings goods back from the shipment that sent them, into the lot they left in. It can also record the customer's refund at the same time.

When to use it

Use it whenever a customer sends something back. Don't use a stock adjustment, because the goods would land on the wrong lot and a recall would stop finding them.

Before you start

The order has at least one shipment.

Steps

  1. Open Sales and open the order.
  2. Press Record a return beside the shipment, or choose it from More.
  3. Enter how much came back on each line.
  4. Choose where it's going, and say whether it can be sold again.
  5. Tick The customer got their money back if they did.
  6. Add a note saying what happened.
  7. Press the button at the foot of the sheet.

What you should see

A message says the items are back in the lots they went out in. The order stays Shipped, and a tag beside it says Return recorded, Partly refunded or Refunded. A refund appears under REFUNDS with its amount.

Good to know

A refund comes off that day's takings and off Margins at what the customer paid.

Take back on a refund's row undoes a refund recorded by mistake.

Stock that can't be sold again comes back held for inspection, so it isn't picked for another order.
